Common in notices, rules, manuals, announcements and polite explanations. It often pairs with 万が一 or もし when the case is unlikely, but it also covers situations that already apply to some people, as in「すでに登録済みの場合は、再登録は不要です」. Compared with たら or ば, it sounds more explicit and businesslike, treating the condition as a specific case to plan for.
Do not use 場合は for a single, definite past event such as "when I went to Kyoto"; use とき instead.
Note that a noun needs の before 場合は, and a な-adjective keeps な.
Note that 場合は sounds odd with events certain to happen to everyone, such as 春になった場合は; use とき or たら instead.
- ときN5「とき」 focuses simply on time with a neutral tone, while 「場合は」 sets up a situation and explains what to do about it, and is more formal. They are often interchangeable when talking about possible situations, but for narrating a one-time event that actually happened in the past, only 「とき」 can be used.
- たらN4「たら」 is neutral in register and common in speech; most hypothetical conditions can be rewritten with 「場合は」, but the latter emphasizes presupposing a situation and then giving a countermeasure, so it does not fit counterfactual hypotheses. 「たら」 can also mean 'after doing...' or express unexpected discovery, which 「場合は」 cannot.
- ならN4「なら」 is neutral in register; when it picks up the other party's topic or something already known to give advice, it usually cannot be replaced with 「場合は」, which is more formal. When explaining how to handle something they are interchangeable, as in 「雨なら」 ≈ 「雨の場合は」, and 「なら」 attaches to nouns without 「の」.
- とN5Only the conditional meaning is similar: 「と」 indicates that once the first clause holds, the second follows, used for regularities, habits, or past discoveries, and the second clause generally does not take requests or commands. 「場合は」 sets up a possible situation and then attaches a countermeasure or instruction, and is more formal.
- ばN4「ば」 is neutral in register and emphasizes 'if the first condition is met, the second results'; it can state regularities and form 「〜ばいい」, and when the first clause is an action verb, the second clause generally does not take requests or instructions. 「場合は」 is more formal, and its second clause is often an instruction or countermeasure.
Unlike とき, which marks a point in time and can describe a single actual past event, 場合は treats the situation as one case to be handled, and unlike と it readily takes requests and instructions in the main clause. It is more formal and procedural than たら, ば and なら, though like なら it can pick up a situation the listener has just mentioned (e.g. after「充電できません」,「充電できない場合は、ケーブルを確認してください」).
